The Sr. Administrative Assistant will perform administrative and office related project functions for multiple directors/managers and their teams.  Duties may include receiving and directing visitors; advanced working knowledge of MS Office products (Excel, Word, PowerPoint, Outlook); requires strong communication skills; ability to work with minimal supervision; flexibility working with multiple and frequent changes; analysis and initiative.  Requires professional demeanor at all times and must be flexible in a fast changing environment.

The main functions of the role include:

  • Coordinate multiple schedules and organizing internal and external meetings to include but not limited to, routine meetings, R&D Reviews, team events, candidate interviews etc.  
  • Plan, coordinate, organize and execute multiple events from start to finish involving center wide and global activities.  
  • Ability to work with outside vendors and venues. 
  • Tasks include, but are not limited to expense reporting, org charts, compiling and analyzing simple and complex data, purchasing, domestic and international shipping, meeting minutes & action items tracking and monthly report consolidation. 
  • Coordinate with various staff for operational support activities of the facility; serve as a liaison between departments and business units in the resolution of day-to-day administrative and operational problems.  
  • Provide support to senior level members of corporate executive team during scheduled visits as needed. 
  • Coordinate international and domestic travel reservations, assisting in obtaining travel visas, itinerary changes and filing of expense reports accurately and in a timely manner.


  • Associates degree in Business Administration or 5 plus years of experience executive level administrative role (preferably in a technical, multi-national environment) or equivalent.
  • Excellent interpersonal, written and communication skills.  Ability to recognize sensitive material and maintain the utmost discretion and diplomacy with a high degree of confidentiality. 
  • Ability to manage top level managers supported with tact, diplomacy and assertiveness.
  • Advanced knowledge in MS Office products, especially Outlook, PowerPoint, Excel and Word.
  • Demonstrated ability to work independently to establish priorities, multi-task, meet deadlines, strong organizational, time management and planning skills.
  • Advanced, high level calendar management and scheduling.
  • High level attention to detail and problem solving skills.
  • Demonstrated ability to organize, plan and develop multiple projects within time constraints to meet deadlines while staying within budget. 
  • Exceptional customer service skills; particularly internal customers located throughout the center and other Saint-Gobain facilities worldwide.   
  • High level of attention to detail and demonstrated problem solving skills. Approaching tasks from a positive perspective and with openness to change.
